Job Description
Title: Machine Shop Administrator
Reports to: Plant Manager
Location: Mount Pocono, PA
Brief Description: Under the supervision of the Plant Manager, the Machine Shop Administrator’s duties will be to assist the Plant Manager in the day to day operations of the facility.
Duties & Responsibilities: Office/Shop Duties Include
• Coordinate shipping schedules with customers and production personnel.
• Issue and maintain accurate records for work orders & job cards.
• Maintain reports regarding shipments, customer orders, etc.
• Conduct time studies and report on machine/operator efficiency.
• Reconcile records of purchase orders from customers and to vendors.
• Create packing slips, certificates of compliance and other shipping documents.
• Collect invoices, packing slips, receipts & shipping documents, & forward to the appropriate department.
• Source supplies and various tools necessary for the operation.
• Maintain Material Safety Data Sheet log.
• Maintain material status reports for various customers.
• Create domestic and international shipping documents – BOLs, commercial invoices. Familiarity with harmonized codes a plus.
• Must be proficient in Microsoft Suite i.e. Word, PowerPoint and Excel
• Possess Electronic Communication skills such as Email, MS Outlook etc…
• Perform General errands such as picking up mail from the Post Office, procuring small supplies from local stores, etc.
• Perform other duties as required.
Shop Floor Duties Include
• Record the material amount or count received and circulated. Report any inconsistencies & collect all necessary documentation.
• Inventory management of CNC tooling, shipping, and office supplies.
• Notify/coordinate the common carrier & coordinate shipping or pick up.
• Inspect merchandise upon delivery to identify any damages.
• Work effectively to meet or exceed productivity goals while maintaining high quality standards.
• Execute daily work instructions received from Plant Manager in a timely manner.
• Perform other duties as required.
Hours of Work:
7 a.m. to 4 p.m. or 42.5 total hours per week.
However, this may increase if an urgent work situation so demands.
Qualifications:
High school diploma or GED required.
Must possess the following:
o Strong learning skills
o Strong communication skills
o Strong research skills
o Strong time management skills
o Valid drivers license and reliable transportation
Must possess a thorough understanding of basic manufacturing principles.
Must have excellent reading, writing, communication and organizational skills in order to interact directly with customers, machinists, procurement officers, couriers and management. The candidate must possess strong problem-solving skills, must be able to work well under pressure and must be able to multitask.
Working knowledge of MS Office (MS Word, Excel and PowerPoint)
Experience:
1. Two (2) years experience in a manufacturing setting is strongly recommended.
2. Data entry & Data Mining.
3. Filing.
4. Customer Coordination & Communication
