When print costs climb without an obvious cause, three places are worth checking first.

Color pages running on color settings when black and white would have done the job. Toner ordered outside the contract because somebody needed it that afternoon. And an overage rate set against an estimate of your volume rather than what the office actually prints in a busy month.

Each of those is easy to look past. Checking them deliberately beats waiting for the budget to tell you.

What does a printed page cost your office? It is a harder question than it sounds, and not because nobody is paying attention. The answer is split across five line items.

Toner sits in supplies. Service arrives on its own invoice. Parts sometimes, sometimes not. Paper is a different budget entirely. The lease payment is somewhere else again.

Four things worth finding in the paperwork: the auto-renewal notice window, what counts as an overage and what the extra pages bill at, whether service calls are included or billed separately, and what happens to the equipment when the term ends.

Copier leases renew on their own. No signature, no phone call, no reminder email. If written notice does not go in before the deadline buried in your agreement, you are committed to another full term.

Pull the lease this week. Find the notice provision. Put the date on the shared calendar with a reminder well ahead of it.
