RESPONSIBILITIES:

• Manage schedules, meetings, appointments, and travel arrangements

• Prepare letters, reports, presentations, and meeting minutes

• Handle emails, calls, and official communications

• Maintain confidential files and records

• Coordinate with customers, suppliers, publishers, and different departments

• Assist in office management and daily operations

• Prepare quotations, invoices, purchase orders, and other documents

• Monitor orders, deliveries, and follow-ups

• Assist in bookkeeping and documentation tasks when needed

• Help organize shipments, events, seminars, exhibits, and book fairs

• Accompany management to meetings and business trips when necessary

• Prepare meals if needed

REQUIREMENTS:

• Bachelor’s degree in Business Administration, Management, Communications, or a related field

• Organized, dependable, and detail-oriented

• Good written and verbal communication skills

• Trustworthy and professional in handling confidential matters

• Proficient in Google Docs, Sheets, Slides; MS Word, Excel, PowerPoint; Canva, and related office tools

• Able to multitask and work in a fast-paced environment

• Willing to travel to different regions

• Willing to work on weekends, holidays, or extended hours if needed

• Will report to office at Araneta Avenue, Quezon City

• Experience in office administration or executive support is an advantage

RESPONSIBILITIES:

• Organize and process financial transactions (daily bookkeeping, sorting documents, and processing digital & cash transactions)
• Prepare daily, weekly, and monthly reports
• Analyze monthly reports to present information to managers and accountants
• Maintain financial filing systems
• Manage accounts payable: track the company’s loans, credit balances, and other accounts payable information with detailed balance sheets
• Pay and file invoices and track the status of each account

REQUIREMENTS:

• Graduate of Accounting or a business course with accounting subjects
• Accounting skills: must have a solid understanding of budgeting, daily bookkeeping, accounts payables and receivables, and transactional accounting
• Financial reporting skills: must be able to process and organize financial information, such as invoices, payments, and balance sheets to create reports
• Data management skills: Must be proficient in using digital data management tools to organize, process, and make sense of data
• Computing skills: Must be proficient in Word, Excel, e-mail tools, and other computer applications / software
• Teamwork and interpersonal communication skills: Must be able to communicate and work well with company accountants, financial decision-makers, and clients through phone, email, and face-to-face discussions
• Self-motivated and eager to learn
• Willing to work on weekends and night shifts if needed
